Creating an organization
When you sign up for FreshNDA, the setup flow asks you to name your organization. This can be your company name or something like “Personal” if you’re using FreshNDA on your own. Your organization is the container for all your NDAs, templates, and reusable links.
Inviting members
Organization admins can invite new members from Settings in the dashboard:
- Click Invite member.
- Enter the person’s email address.
- Choose a role: Member or Admin.
- Click Send.
Pending invitations appear in the members list until accepted. The number of members you can have depends on your plan. If you’ve reached your limit, you’ll be prompted to upgrade.
Roles
There are two roles:
- Admin—can send NDAs, manage templates, invite or remove members, edit the organization name, manage billing, and delete the organization.
- Member—can send NDAs using existing templates and view the shared dashboard. Cannot edit templates, manage members, or billing.
Every member of an organization can see all of that organization’s NDAs. There is no per-record or per-member visibility walling. To keep sensitive matters separate, create a distinct organization for them.
An organization always keeps at least one admin. If you’re the only admin, the option to change your own role is hidden so you can’t leave the organization without one. Promote another member to admin first if you want to step down. To close an organization entirely, use Delete organization instead.
Activity & audit trail
Admins see an Activity section in Settings that records every membership change: who invited, removed, or changed the role of whom, and when. Invitations that were resent, revoked, or accepted are logged too.
Use Download CSV to export the full history for a procurement or compliance reviewer. Members don’t see the Activity section—it’s admin-only.
Switching organizations
If you belong to more than one organization, use the organization switcher in the sidebar (desktop) or top bar (mobile) to switch between them. Each organization has its own NDAs, templates, links, and billing.
Solo use
You can use FreshNDA without inviting anyone else. Just create an organization during setup and start sending NDAs. You can always invite team members later.
Deleting an organization
Organization admins can delete an organization from Settings. This permanently removes all NDAs, templates, and reusable links associated with the organization, including the stored signed PDF files and signing records. You’ll be asked to type “delete” to confirm.
You can delete an organization even when it’s your only one. When that happens, you’ll be signed out of that organization and asked to create a new one to keep using the product.
