Reusable NDA Links
What are reusable links
A reusable NDA link is a URL you can share with multiple people. Each person who visits the link fills in their details and signs their own copy of the NDA. This is useful when you need many people to sign the same type of agreement, like onboarding new hires or working with contractors.
Creating a link
Go to your dashboard, click Send NDA, and choose Share a link. You’ll see the template picker and the link together on one screen:
- Pick a template—choose which NDA the link should use. The link below updates live as you switch templates. Your most recently used templates show up first, and once you have more than five a search box appears to filter by name.
- Copy the link—click Copy to put the link URL on your clipboard.
Your name, title, and organization come from your account, so there’s nothing else to fill in. Each link is tied to its template, so you can share a different link for each kind of NDA.
Admins can also customize the readable part of the address right here. The link reads like freshnda.com/sign/acme-mutual-nda, and the editable slug at the end is yours to set. See Customize the link address under Managing links below for the rules.
The picker only lists templates that are available for sending. Admins can hide a template they aren’t using from its editor, and hidden templates won’t appear here. A link you already shared keeps working even if its template is later hidden—hiding only affects what shows up when you create a new link.
Prefilling recipient details
On the Share a link screen there’s an optional Prefill recipient details box where you can enter the recipient’s name, email, title, and organization. Anything you fill in is baked into the link, so when the recipient opens it their signing form arrives already filled out and they only have to confirm and sign.
Every field is optional, and the recipient can still edit anything before signing. Leave the box blank to share a plain link that each recipient fills in themselves. Because the details travel in the link, generate a separate prefilled link for each recipient rather than sharing one prefilled link with several people.
Sharing your link
Paste the link anywhere: email, Slack, a job listing, an internal wiki. When someone visits the link, they land straight on the signing page and can read the full NDA right away. When they click Sign, a short popup asks them to confirm their email with a 6-digit code, and the signature is recorded once the code checks out. The email check keeps someone from signing under an address that isn’t theirs.
The link itself doesn’t expire on a timer—it keeps working until you deactivate it (see Managing links below), so it’s fine to leave it in a job listing or wiki for as long as you need. The 7-day signing window applies to each copy individually: once someone starts signing, they have 7 days to finish. If a copy lapses unsigned, that person can just reopen the link and start again.
Managing links
Reusable links live in the template editor. Open the template the link points at and find its Reusable link section. From there you can:
- Copy the link—the full URL is shown so you can copy it and share it again.
- Customize the link address—the Link address field sets the readable part of the URL (for example, acme-mutual-nda), so the link looks like it comes from your organization. Use lowercase letters, numbers, and hyphens. Changing the address immediately breaks the previous link for anyone you’ve already shared it with, so settle on it before you distribute the link widely.
- Disable this link—stop accepting new signatures. It stops working immediately for everyone you shared it with, and anyone who visits sees a message that it is no longer active.
- Set an expiry date or usage cap—use the Expires and Use limit fields to have the link stop working automatically after a date you choose or a set number of signatures.
The same section lists everyone who has signed through the link. Existing signed NDAs are never affected when you change these settings.
